Job Summary:

As a Recruitment Operations Administrator (ROA), you will be the backbone of an agile Talent Acquisition team. You’ll coordinate each step of the interview and hiring process, ensuring an exceptional experience for candidates and hiring managers. You will excel in this role if you are an excellent communicator, are detail oriented, have on the ground operational experience and thrive in a fast paced environment. This role reports to the Director, Organizational Effectiveness.

What You’ll Do:

  • Provide operational and administrative support to ensure a smooth interview process both internally (with the hiring team) and externally (with candidates)

  • Coordinate the majority of candidate communications and paperwork, from initial interview requests and scheduling, through to offer letter generation and compliance-related tasks

  • Manage all interview logistics including calendaring

  • Cultivate strong relationships with interview teams and candidates, and ensure regular touchpoints throughout the recruiting process

  • Update and maintain job descriptions and listings across recruitment platforms

  • Update and maintain our Applicant Tracking System (ATS) including interview questions, building automations, creating links, scheduling interviews, etc.

  • Generate recruiting reports on a weekly basis for all stakeholders

  • Support the Talent Acquisition team in strategy and execution of industry events, university programs, and employer branding initiatives

  • Support the transition of candidates to the onboarding process to integrate new hires into the company

  • Perform other recruiting-related responsibilities, as needed

Job Requirements:

  • At least two years of experience as coordinator or administrator supporting multiple stakeholders, with a penchant for database hygiene

  • Ability to thrive when working on multiple projects cross functionally with several teams

  • Strong organizational skills and great self-directed follow-through on tasks

  • Demonstrated ability to learn new tools and systems

  • Exceptional communication skills and are well-spoken

  • Detail oriented, highly organized and able to embrace change with ease

  • You have grit, hustle, and a “get-it-done” attitude with a comfort for ambiguity and working in a dynamic environment (start up experience is a plus!)

  • Not afraid to ask questions, raise issues, and propose solutions
